Cutting down the 9-to-5: The role of AI in reducing weekly work hours

Work-life balance, increased productivity, and improved mental health are some benefits of a shorter work week. Producing the same results, but in fewer days and gaining at least one day for rest and personal and family activities can't be bad, can it?

Transitioning to a shorter working week offers numerous advantages for both employees and organizations. Contrary to the assumption that longer hours produce more performance, evidence suggests that shorter work weeks can increase productivity. When employees work fewer hours, they tend to concentrate better, work more efficiently and prioritize essential tasks. This concentrated effort often leads to higher-quality work in less time.

In addition, a shorter working week can significantly improve the mental and physical health of employees and even reduce turnover rates in companies.  It can also provide competitive advantages in recruitment, contribute to environmental sustainability, and foster a more engaged and innovative workforce.

However, while many companies talk about the benefits of the "short week", it is not an easy goal to achieve. The advent of AI is starting to shake the latter claim. How come? Artificial Intelligence (AI) is poised to play a pivotal role in making this a reality by automating repetitive tasks, enhancing decision-making, and optimizing workflows. 

Automation through AI could absorb 50% of today's work activity by 2045, according to a new report by McKinsey & Co. The research reveals that in just 22 years, generative AI will be able to fully automate half of today's work activities, including tasks related to decision-making, management, and stakeholder interaction.

The management consultancy's report, published on 14 June, predicts that 75% of the value creation from generative AI will come from customer service operations, marketing and sales, software engineering, as well as research and development roles.

Generative AI systems now have the potential to automate work activities that today take up 60-70% of employees' time, according to McKinsey estimates. This represents a significant opportunity to transform the way everyday tasks are managed, allowing employees to focus on more strategic and value-added activities.

Interestingly, the McKinsey report estimates that generative AI is likely to have the "greatest impact" on high-wage workers, those who apply a high degree of "expertise" to their work, especially in areas such as decision-making, management and stakeholder engagement. This suggests that AI will not only replace routine tasks, but also complement and enhance human capabilities in complex and strategic roles.

Here’s how AI could shorten the work week:

1. Automating Routine Tasks

AI excels at handling repetitive, mundane tasks that consume a significant portion of employees' time. Tasks such as data entry, scheduling, and basic customer service inquiries can be automated using AI-powered tools. This allows employees to focus on more complex, creative, and value-added activities, reducing the overall time needed to complete their work.

For instance, AI chatbots can manage customer service interactions, freeing up human agents to tackle more complex issues. Robotic Process Automation (RPA) can handle routine administrative tasks, such as invoicing and payroll processing, with greater efficiency and accuracy.

2. Enhancing Decision-Making

AI can analyze vast amounts of data quickly and provide insights that inform better decision-making. Machine learning algorithms can identify patterns, predict trends, and provide recommendations, enabling managers and employees to make informed decisions more rapidly. This can significantly reduce the time spent on data analysis and strategy development.

For example, AI-driven analytics can help marketing teams quickly understand customer behavior and preferences, allowing them to tailor campaigns more effectively and efficiently. Similarly, AI can assist in financial planning by providing accurate forecasts and risk assessments.

3. Optimizing Workflows

AI can streamline and optimize workflows by identifying bottlenecks and suggesting improvements. Workflow automation tools powered by AI can coordinate tasks, manage deadlines, and ensure that resources are allocated efficiently. This leads to faster project completion times and reduces the need for overtime or extended work hours.

In manufacturing, AI can optimize production schedules and maintenance routines, minimizing downtime and maximizing output. In project management, AI tools can help teams stay on track by automatically adjusting timelines and resource allocation based on real-time data.

4. Facilitating Remote Work and Flexibility

AI-powered tools can support remote work by enhancing communication and collaboration. Virtual assistants can schedule meetings, manage emails, and organize tasks, allowing remote workers to be more productive. AI-driven collaboration platforms can facilitate seamless teamwork, regardless of geographic location, making it easier to implement flexible work schedules.

By enabling remote work, AI allows employees to save time on commuting and better manage their personal and professional responsibilities. This flexibility can contribute to a shorter work week while maintaining productivity.

5. Personalizing Learning and Development

AI can personalize training and development programs, ensuring that employees acquire the skills they need efficiently. AI-driven learning platforms can assess individual strengths and weaknesses, recommend targeted training modules, and track progress. This personalized approach accelerates skill acquisition, reducing the time employees spend on training and increasing their productivity.

For instance, AI can identify specific areas where an employee needs improvement and suggest relevant courses or resources, allowing them to quickly upskill and apply new knowledge to their work.
